INFORMATION AND REGISTRATION MANAGEMENT: A MODEL SUGGESTION FOR THE DEVELOPMENT FOR AN INFORMATION AND REGISTRATION SYSTEM IN AN INDUSTRIAL ENTERPRISE

Özet

Amaçlar: Çalışmanın amacı, örgüt yapısında ve bilgi ve iletişim teknolojisinde meydana gelen değişmeler sonucu iş yükünde meydana gelen artışın özellikle -bilgi ve kayıt hacminde meydana gelen artışın- mevcut bilgi ve kayıt sistemi üzerinde oluşturduğu etkileri ortaya koymak ve bu etkiler sonucu ortaya çıkabilecek eksiklikleri ve/veya aksaklıkları tespit etmek ve uygulanabilir tedbirlerin alınmasına yardımcı olacak (şirketin örgüt yapısını göz ardı etmeden) önerilerde bulunmaktır.Yöntem: Araştırma sistem analizi yöntemiyle gerçekleştirilmiştir. İşletmenin bilgi ve kayıt sistemi hakkında bilgi toplarken görüşmeler, örgüt şemaları, akış diyagramları, örnek formlar ve raporlar ve gözlemden yararlanılmıştır. Bulgular: Örgütün yapısında ve bilgi teknolojisinde meydana gelen değişimlerin iş yükünde, bilgi ve kayıt hacminde artışa neden olduğu belirlenmiştir. Mevcut bilgi sisteminin yapısı merkezi değildir. Sistem Otomasyon bölümünün kurmay olması, danışma bilgisi sağlayan ve karar vermeyi kolaylaştıran bir birim olarak örgütlenmesi bölümlere ayırmada karşılaşılan bir çelişkidir. İşletmede tüm birimleri kapsayan ve tüm birimlerce kullanılan ortak dosyalama sistemi geliştirilip uygulanmamıştır. Arşiv için gerekli büyüklükte ve uygun yer ayrılmamıştır. İşletmede çok fazla rapor ve yazı kullanılması tespit edilen diğer sorundur.

Abstract

Objectives: The purposes of this study are to exhibit the effects of the increase on the work loads in the existing information and registration system caused by the changes because of the changes in the information/registration system and to suggest some solutions that can help the company in taking cautions for the deficiencies and/or faults (without ignoring the structure of the company).Method: The research was carried out by adopting the traditional system analysis. While collecting data about the existing information and registration system, the interview, organization charts, flow diagrams sample forms & reports and observation methods were benefitted.Results: It was specified that the changes in the structure of the company and information technology have caused an increase of in the work load, the volume of information and registration transactions. The existing system is not central. It seems to be a paradox in departing the organization as the Department of System Automation is a staff unit providing advisory information and facilitating the procesesses of decision making A filing system covering all depatments of the company has not been developed and used. A required capacity has not been devoted for archiving. Using of excessive reporting and corresponding transactions is another problem detected.
